Privacy policy and terms

Your site collects a little personal information: the name and email of everyone who asks about training or sponsorship. That means it needs a privacy policy, and it’s good practice to have terms of use too.

Your site comes with placeholder versions of both. They’re there so the pages exist, not so they can be used as they are. Your setup checklist won’t let you launch until they’ve been replaced.

Where to edit them

In your site’s admin, go to Website › Pages and edit Privacy policy and Terms of use.

What your privacy policy should cover

  • Who your club is, and how to contact you.
  • What you collect: names, email addresses and messages from the enquiry forms, and any photos of players.
  • Why: to reply to enquiries and to run the club.
  • Who else handles it: Openside hosts your site and sends its email, on your behalf.
  • How long you keep it, and how someone can ask to see or delete what you hold about them.

The rules depend on where your club is: the UK GDPR in the UK, Japan’s Act on the Protection of Personal Information, Australia’s Privacy Act, and so on. If anyone on the committee has a legal background, ask them to look it over. This guide isn’t legal advice.

Photos of players

Some players don’t want to appear online. Your site already lets you hide a player: their name, photo and initials don’t show anywhere. Say in your privacy policy how a player can ask for that.
